Bookings & Deposits

A non refundable deposit of £50 is required to secure all bookings. We can not reserve any bookings without a deposit.
The balance is then payable 2 weeks before your party.
Payment via bank transfer.
Please state your address on an enquiry, locations that are more than 20 miles out will incur a charge
If you're booking in advance we offer payment plans to pay monthly for your event - Payment must be made in full before your event, missed payments may result in cancellations and no refunds to any payments already made.

We will offer a full refund in case of cancellation by us due to mechanical failure beyond our control.
In the case of adverse weather conditions such as heavy snow whereby it would be impossible for the van to travel or for the party to go ahead an alternative date will be offered depending on Game Over's availability.
If you need to cancel your party or event please contact us immediately, we will look to rebook the date if possible.
Please note parties cancelled within 14 days of your party date will not be eligible for a refund.
If the cancellation is longer than 14 days, we will do our best to find you an alternative date.
Changing the Date & Time: If you need to change the time or date of your booking within 2 weeks of your party there will be a charge. Changing dates is subject to availability.
Full payment must be made 2 weeks before your party or you risk us cancelling your booking.

Cancellations

Attendees

We can accommodate any age above 7+ (for very boring insurance reasons). As a default we give access to all games so when making enquiries please let us know if you'd like us to restrict access to 12 or under games only.
There is no upper limit age, please be aware there is a step to get into the van however we do have an outdoor screen to allow any user to be involved in the party.
For advertising purposes, we may take photos and/or short videos. These may be used on our website or on other social media platforms. As we are unable to seek permission from the parents of all the children attending, it is your responsibility to inform us if you wish for photography/videos not to be taken on your party day.

On Site

On arrival we aim to arrive a minimum of 15 minutes before the party starting, in the event we are delayed on arrival due to traffic or other unforeseen circumstances your booked gaming time will still be honoured but no discount or compensation will be given, we will call you in the event of any such occurrence.
Parking: It Is the hirers responsibility to ensure there is adequate parking at the agreed location, that the ground is flat enough, and there is adequate access to the proposed parking place. We need 2 cars parking back to back space in length to park and operate, width of the van is that of a large SUV. It is the hirers responsibility to liaise with neighbours etc that could block our access in. We allow 10- 15 minutes prior to a booked start time to get parked, plugged in and set up, any delays such as ones listed here may impact on your booked gaming time.
We reserve the right to abandon any event upon arrival if we can not park safely or access the proposed space safely or without your assistance. In this event no refunds will be made of any amount.
We accept no responsibility for any damage to driveways or ground parked on during the event.
In the unfortunate instance that anyone vomits or has any accident inside the gaming van we reserve the right to pause the event with the extraction of everyone inside to seek to clean the van. Any loss of gaming time will not be reimbursed, however the fun can continue externally thanks to our large outdoor screen. If we are unable to clean the van to our satisfaction during the event we reserve the right to implement a one off charge to the booking party of £50 to compensate our time to get the van back to our normal high standard.

Power

It Is the hirers responsibility to ensure that 2 plug sockets are available within 25 metres of our van, if this isn't available then we need advanced notice to ensure a generator can be used. Failure to provide this could result in us having to abandon the event with no refund.
We use two sockets so we should never be putting your power at risk, however in the very unlikely event there's any damage to the power supply we accept no responsibility for this - (Our equipment is installed and PAT tested by a fully qualified electrician)

Safety

Game Over Gaming van is not suitable for anyone who suffers from photo sensitive conditions. We hold no responsibility over any person who may suffer from photo sensitive incidents.
Any damage caused to our equipment or van during the event that is due to improper behaviour or vandalism will result in charges back to the event organiser.
No Food or Drink is to be consumed within the Gaming Van.
No smoking or vaping within our Gaming Van.
All Adult Team members are DBS Certified
Game Over has full public liability insurance to the sum of £2m, certification can be presented on request.

Internet Availability

The Gaming Van is able to to be self sufficient for online gaming via 5G/4G Routers.
In the event we are unable to source sufficient 5G/4G due to bad positioning or in rural areas we may request the use of the event organisers Internet via Ethernet cable. (We do have our own Ethernet cable to connect)
If insufficient internet is still not available then every effort will be made by our staff to not allow this to affect the enjoyment of the event and offline game-play will be prioritised.
We are in no way obliged to offer any discount to the event organiser if certain games or game-play is unavailable due to lack of internet reception.

Terms of Use

Game Over Gaming Van, the gaming consoles within the van and games within them are for private use only. Not for commercial use.
Game Over Gaming Van do not charge a fee to any event / booking party or the members of any event to play on our consoles, any use of the games consoles is completely free of charge.
The fee stipulated by Game Over Gaming Van to provide our gaming parties or attend any event on our website or conveyed in any other way is a hire fee for a set time period with our specially customized van and the A/V equipment (not including the games consoles) providing a one off event environment for up to 9 people. Event participants can bring and play their own games if they want.
We reserve the right to amend any service details for example pricing, service maps, offers, time frames of events without notice. Any booked events will not be affected
